Manage service requests and offer revisions
Keep private conversation and formal commercial revisions in one record.
REQUEST STATES
Awaiting response → Active → Offer sent. From Offer sent, the Importer can Accept, Decline, or Request revision. A new Agent offer after Declined or Revision requested returns the request to Offer sent. Closed ends the active workflow.
KEEP THE CONVERSATION AND OFFER HISTORY TOGETHER
Owners, admins, and members of the two participating organizations may message unless the request is Closed. Messaging remains available after an offer is Accepted or Declined. Each message may contain up to 4,000 characters. Only an Agent owner or admin can publish a formal offer. Each new revision supersedes the prior proposed offer without deleting messages or earlier offer versions.
A user who belongs to both the Importer side and the provider's Agent workspace cannot represent both parties or gain access through dual membership. Pausing or unpublishing the Agent listing blocks new requests but does not erase an existing private inquiry or its history.
FORMAL OFFER LIMITS
• Amount must be positive and use the decimal precision allowed by its currency.
• Terms must contain 2–4,000 characters.
• Lead time must be 1–3,650 days.
• Valid through must be today or a later date.
RESPOND TO AN OFFER
Only an Importer owner or admin can:
• Accept the current offer.
• Decline it.
• Request a revision and explain what should change.
Acceptance requires authentication within the last ten minutes. If the offer has expired, the Agent must publish a new revision before it can be accepted. Declining or requesting a revision does not use this acceptance-only recent-authentication check.
WHAT EACH RESPONSE ALLOWS
• Revision requested — the Agent can publish a revised formal offer.
• Declined — the current offer is declined, but the Agent can publish a new offer and both sides may keep messaging.
• Accepted — the accepted offer remains the commercial record. New offers are blocked, but both sides may keep messaging.
• Closed — new messages and offers are blocked.
WHAT ACCEPTANCE RECORDS
Acceptance updates the versioned inquiry and offer, records the acceptance time, and adds a system message to the private conversation. The conversation remains available after acceptance.
Acceptance does not create a campaign payment obligation, Stripe Checkout session, booking, invoice, shipping order, or fulfillment record. Use the agreed offer and conversation as the commercial record, then coordinate any payment, contracting, shipping, and fulfillment steps separately.
